Task 51. Doing Knowledge Base management

Learning objective

You will learn that the two Knowledge Base files containing user data (current.kb and archive.kb) are designed to grow by adding date-and-time-stamped segments so it is possible to restore the Knowledge Base to a prior date and time.

Current.kb grows by another segment every time you save the Knowledge Base. It changes as you work.

Archive.kb grows by another segment every time you use the Archive option on the Knowledge Base Management dialog. It does not change as you work.

Compressing the current.kb file

1.From any window, go to the menu and click File…Knowledge Base Management.

2.For Select the Action You Wish to Perform, select Compress.

3. Select Compress the Frequent File Only (current.kb), and click .

4. If the compression completes successfully and you need more free space on your hard disk, delete the current.old file from the \Cellar directory.

Tip: If you have plenty of free hard disk space, you may ignore this file. You will overwrite it with each subsequent compression.

Fixing a Compression failure

1. Exit LinguaLinks Workshops.

Tip: Use Ctrl+Alt+Delete if necessary.

2. Delete the current.kb and current.ind files from the \Cellar directory.

3. Rename current.old to current.kb.

4. Restart LinguaLinks Workshops and rebuild the index when given that option.

5. Try the compression again.

Compressing the current.kb and the archive.kb files

1. From any window, go to the menu and click File…Knowledge Base Management.

2. For Select the Action You Wish to Perform, select Compress.

3. Select Compress Both the Frequent and the Long-term Files (current.kb and archive.kb), and click .

4. If the compression and archiving completes successfully and you need more free space on your hard disk, delete the current.old and archive.old files from the \Cellar directory.

Tip: If you have plenty of free hard disk space, you may ignore these files. You will overwrite them with each subsequent compression.

Fixing a Compression failure

1. Exit LinguaLinks Workshops.

6. If you still have problems, repeat the steps above but do not attempt compression. Contact the Help Desk for further instructions.

Restoring the Knowledge Base

Learning objective

You will learn that the Restore option on the Knowledge Base Management dialog allows you to "undo" your work if you save the Knowledge Base after making extensive changes and then decide you do not want to keep the changes.

When you use the Restore option, you will see a list of dates and times when the Knowledge Base was saved in the past. You may select one from the list and LinguaLinks will restore the Knowledge Base to that date and time.

Caution: You will lose any changes you made after the selected date and time!

Every time you Compress the current.kb and archive.kb, your choice for the Restore option is reduced to one date and time for each of these files.

You need to Compress and back up these files on a regular basis, so you should think of the Restore option only as an "undo" for things you did very recently.

1. From any window, go to the menu and click File…Knowledge Base Management.

2. For Select the Action You Wish to Perform, select Restore and click .

3. In Please Confirm, click Yes.

4. In Select Time of Save to Restore, choose the desired time of the current.kb or archive.kb file, and click OK.

Caution: SELECT THE TIME VERY CAREFULLY!!

5. In Please Confirm, click Yes.

Result: Restores the current.kb file and rebuilds the current.ind file. This may take a while! When complete, LinguaLinks will restart and you will be able to continue with your work.

Backing up the Knowledge Base

1. Frequently back up these three files in the /Cellar directory to an external device:

If you run into problems that you cannot recover from, zip these three files and sent them to LinguaLinks Technical support.
